We’re here today to help you answer a pretty common question: Is QuickBooks Online right for me?
QuickBooks Desktop (Pro, Premier, and Enterprise) are all built very similarly, and have similar functions (i.e. Enterprise does everything Pro and Premier do, plus a bit more). QuickBooks Online, however, is a horse of a different color. It is NOT a web-enable version of QuickBooks Desktop.
That means we need to answer some questions about your business to find out which of these solutions is the best one for you and your company. Please note, that for the purposes of this article, I am not taking any Accountant versions into consideration. Also, some of the features are only available through add-on modules.
There are a lot of things that both QuickBooks Desktop AND QuickBooks Online can do. Let’s do a quick run-down of some of those features for you:
- Accept customer credit cards
- Audit trail tracking for transactions and list changes
- Bank reconciliation
- Company snapshot
- Create estimates
- Custom fields
- Multi-user access (Pro – max 3 users, Premier – max 5, Enterprise – max 30, QBO Essentials – max 3, QBO Plus – max 5)
- Online banking
- Recurring billing/memorized transactions
- Send forms via email
- Sales tax tracking
Here are some things only available in Desktop versions:
- Average cost inventory valuation
- Balance sheet by class
- Batch invoicing
- Mileage tracking
- Price levels
- Reorder points
- Sales orders (not in Pro)
- Unit of measure (not in Pro)
Here are some things only available in Online:
- Activity log
- ANYWHERE, ANYTIME ACCESS (this is the big one!)
- Auto deliver reports
- Automatic upgrades
- Client collaborator
- Delayed charges/billing
- Invoice automation
- Multi-location access
As you can see, there are pros and cons to both desktop and online versions of QuickBooks. However, it is important to take into consideration what your business needs are, and what are necessary features for your business, versus luxury features that you could live without. If you need anywhere, anytime access for your business, and love the idea of automatic reports and invoicing, QuickBooks Online is probably a really great fit!
